A company's media files, produced for a lot of money, are rightly called digital treasures. Digital asset management systems for managing these "treasures" have long since found their way into companies - modern data management without DAM has become almost unthinkable. But how exactly does DAM help to make processes more efficient and optimise them? There are numerous examples of this.
In general, workflow management aims to improve the quality of processes, which is particularly noticeable through reduced costs, shorter processing times and better transparency - all in all, administrative processes are supported and optimised. In addition, external employees, service providers or suppliers can be integrated into the corresponding workflows and - depending on their authorisation - have access to relevant data. Thus, all important information and content is up-to-date and available to all people involved in a project, regardless of time and place, and the systems can be cleverly used to quickly and flexibly automate various processes that would otherwise have to be done manually.
Through AI-driven image recognition, a wide variety of content can be automatically tagged, i.e. keyworded - the manual addition of tags, which takes a lot of time, thus becomes superfluous. Image and video material can thus be catalogued more quickly and also found, shared, edited and managed more easily and efficiently by all those involved. A practical example: photos from a shoot are to be catalogued. The photographers upload their images directly into the DAM system thanks to their own access. The system then takes care of the rest: the images are integrated, catalogued and the metadata is automatically filled with the appropriate information.
Due to the new General Data Protection Regulation, which came into force in May 2018, the topic of image rights plays a very important role in the publication of personal photos and videos and companies are forced to deal intensively with this topic in order to prevent costly legal disputes. Photos and videos of people can be automatically scanned and tagged with facial recognition using artificial intelligence. For example, images or videos of people who do not want their images to be published can be tagged and thus automatically filtered out. A modern DAM system should also keep track of content licensed specifically for publication and ensure that licence duration and coverage are adhered to when it is used. Expensive copyright infringements are thus a thing of the past and those responsible save valuable resources.
With the help of workflow management, tedious searching and the question of the latest version of a document are a thing of the past and inefficient, parallel workstreams can be avoided. All employees can quickly and reliably access finished and released media files and prepare and make them available for various output channels. In addition, tasks can be automatically assigned to the team members involved, which creates clear responsibilities and process transparency. For this purpose, a workflow is set up that processes certain responsibilities one after the other until the person responsible finally gives the go-ahead. In addition, deadlines can be managed or deleted automatically, which is crucial when it comes to meeting project deadlines
Sound corporate brand management has become very complex and multi-layered. A lot of money is spent on constantly developing and improving the brand identity. Despite the high effort, misunderstandings often arise between departments or the style guidelines are simply disregarded or ignored. For consistent brand communication, it is essential to ensure that the corporate identity is adhered to and used correctly. This is where branding automation can make a decisive contribution. Day-to-day process-related work steps are simplified - for example, the creation, review, approval and provision of marketing materials or the improvement of brand continuity and the planning and execution of brand-related projects. With the help of these tools, brand communication is to be controlled and simultaneously reinforced across different channels. Brand managers can thus free themselves from tedious administrative tasks and invest their valuable time in expanding the brand strategy instead.
Another important component of workflow management is the ability to integrate with other systems. DAM systems can be linked to websites, PIM systems, e-commerce platforms, social media platforms and graphics programmes. This makes it possible to optimise a wide variety of processes related to the creation, editing or distribution of media data. The assets created in this way can therefore not only be managed efficiently - measures, content, topics or campaigns can also be planned, created, edited and coordinated.
The question of whether companies should invest in an intelligent DAM system hardly arises after considering all these aspects: costs and time are saved, the efficiency of the individual departments is increased, cooperation with internal and external parties is made more effective, brand management is optimised and recurring standard processes are simplified and streamlined.
